Family transfers become difficult when luggage, pushchairs and child-seat needs are left until pickup. Count the actual bags and oversized items rather than estimating only the number of suitcases.
Start with a simple inventory: adults, children, standard suitcases, cabin bags, pushchairs and any bulky item. A folded pushchair or travel cot can use the space expected for another suitcase, so dimensions are more useful than a vague description.
A van can keep the group together and provide more usable baggage space, but capacity is not unlimited. If the group travels with several large cases, sports equipment or a wheelchair, share that before the category is confirmed.
For child seats, provide each child's age and approximate size and state what you need. Availability and the appropriate setup must be checked before confirmation; bringing a familiar seat can also be discussed when preferred.
For an airport pickup, include the flight number and one mobile contact who will be switched on after landing. Allow time for passport control, baggage and assembling the group before everyone reaches the agreed meeting point.
Longer family journeys may work better with a planned rest or meal stop, but it should be part of the quote. An unplanned detour can change the route and timing, especially when a later check-in or reservation is fixed.
Finally, share access details for the destination: hotel entrance, villa gate, building name or local host number. A complete request is easier to confirm than a last-minute search for the correct address with children and luggage waiting.
